Computer Access for Research Volunteers
This is an incomplete description of how to get volunteers access to computers (as of April 2022).
Volunteers need a sonnet (mednet) account with appropriate permissions. The permissions are set in response to requests from Nursing HR. Following are three permissions:
“mednet”(?) - This allows logging on to standard computers in Nursing
“Remote” or “My Desktop” - needs “mednet” permission; allows remote access via “My Desktop”; remote access is to a specific computer. Note that users must log in locally one time before the remote access will work.
“VPN” - remote access with VPN is a defferent permission. Does not require “Remote” permission
Trainings
New volunteers usually complete the following trainings:
Collaborative Institutional Training Initiative (CITI Program)
Human Research-Biomedical Researchers & Staff module
UCLA HIPAA module
The trainings can be found at https://www.citiprogram.org/index.cfm?pageID=14®ion=1. Click the LOG IN THROUGH MY INSTITUTION option and select University of California, Los Angeles (UCLA). From there, use your UCLA log in to access the main portal and select the trainings listed above.
UCLA Health HIPAA (complete if volunteer needs Mednet Account)
Volunteers should provide the Project Director with a copy of their completion certificates. Certificates should be submitted to Letitia Lynex in HR along with relevant forms.
FORMS/APPLICATIONS
All forms should be submitted to HR (Letitia as of Feb 2022).
The following forms need to be completed by new volunteers:
School of Nursing Volunteer Application
Volunteer Work Comp form
The following forms need to be completed for volunteers who need a mednet account (note that a sonnet account is also a mednet account):
UCLA Health Non-Employee Access Request Form
UCLA Health Confidentiality Statement
Volunteers should also be registered with the Non-Clinical UCLA Health Sciences Volunteer Program to ensure Mednet access and access to conduct research activities at UCLA Health facilities outside the SON such as the BMC. The most recent forms and instructions for registration are available at the UCLA Health Sciences Volunteer Programs website.
These forms are emailed to HR, who may then refer to an online orientation, an onboarding meeting on zoom, and a quiz.
Note that the volunteer office is NOT the right path.
