Template email for inviting new users

There are a few steps to get access to Confluence via your sonnet account (details).

  1. Create a DGIT ticket requesting access (I’ve done this).

  2. A Confluence administrator invites you from Confluence; you should get an email (I’ve done this).

  3. You complete a training, save the certificate as a pdf, and email it to me or attach it to the DGIT ticket.

    • Link; log on as “UCLA Health Employee Login”

  4. To get access to private sites, or access to edit sites, a Confluence administrator will add you to one or more Confluence groups (academic programs, student affairs, etc.).

This usually happens within a day.

Background

Confluence is a group of wiki-style websites under the SON umbrella:

https://uclason.atlassian.net/wiki/home

Some of these are public access, which is what you’ll see above.

There are other private “spaces” (Confluence term for the websites) you have to log in to see, including the “Academic Programs SOP”. The first step is to get access which will let you read and edit the content. It’s easy enough to learn to edit once we get to that point, and at any time you’ll be able to ask me or Brenda to edit.

Confluence is great for documenting procedures and other stuff you might normally put in emails. It’s very easy to edit and add content, and organize it in a tree structure in the website. I think it can be a good dashboard linking to Box folders and other sites. It’s ok for files, not great. One use is by MarySue for meeting notes (https://uclason.atlassian.net/wiki/x/DQCIAw ). Other examples are the bruin briefs (Cindy would upload these), a few IT tips, the handbook, and of course the more substantial procedures.
