Bruin Brief 2022-04-15: eValue Efficient in the SON

Efficiency is doing better what is already being done.”  -Peter Drucker

UCLA SON faculty and staff have always done an outstanding job educating our nurse leaders of tomorrow, and we get the job done.  However, we may not always get the job done in the most efficient manner. Implementing eValue will boost our efficiency, streamline work flow processes, provide a centralized hub for collection and storage of student data, and offer more transparent communication between students, faculty, and staff.

The following departmental teams have been meeting with Brenda Yeung and our eValue implementation manager Ashley Cordor to configure eValue to meet the SON’s needs.  We want to update everyone by summarizing the work to date, and offer a preview of how eValue will benefit SON.

Human Resources Team: Sheila Davis, Jennifer Pelayo, Libby Yoon, Letitia Lynex

  • Easy to access reporting capabilities within eValue will help the HR team pull data as needed

  • eValue will be able to easily collect faculty CVs, professional certifications, via faculty uploads to their eValue profile so we will always be accreditation ready

  • Volunteer Assistant Clinical Professor (VACP) tracking in eValue will help ensure our valued volunteer APRN educators are compliant with requirements.

The eValue screen shot looks like this:

Student Affairs Team: Shelli Shepherd, Janet Kang, Soo Kwon, Stephanie Dominick, Lizbeth Del Rio

  • Students will be able to upload documents and update personal information to their eValue profile/personal records area instead of having to email SAO staff directly allowing for multiple Student Affairs staff to assist if needed

  • Paper forms are being digitally created within eValue so students and faculty will have easy access to commonly requested forms (ie: general student petition, performance improvement plans, and more!)

Clinical Placements Team: Dr. Elizabeth Thomas, LaWanda Bowles-Costello, Ramez Soliman, Mayra Contreras

  • Student clinical placements will be done via eValue

    • All Pre-licensure clinical sites have been uploaded into eValue

    • APRN clinical sites are currently being uploaded and is a work in progress as there are many more APRN sites than there are PL sites

    • Students will be able to clearly see where they are going for their clinical rotation and when.

Site Affiliations will be tracked and managed in eValue with automated reminders for when contracts are expiring

Fundamentals Lab Team: Jihan Ceyhan, Glenda Totten, Anita Bralock

  • Electronic version of the student skills book. Students will be able to mark off skills they have completed in eValue and notifications will be sent to appropriate faculty to verify completion.

  • Electronic versions of OSATS to replace paper copies.  Lab faculty will be able to assess students on OSAT procedural steps via a laptop/tablet and have it auto tied to the student’s profile.

These are just some of the highlights out of the many tasks/goals these departmental teams are working on to customize eValue to our UCLA SON needs.  Due to the extensive set up and testing required, the eValue go-live timeframe for SON is tentatively set for Fall 2022.  Training on how to use/navigate eValue will be provided to all students, staff, and faculty as we get closer to the go-live date.  There are other eValue functionalities we are exploring that are also in the works so stay tuned for future updates, and if you have any questions please feel free to email Brenda Yeung byeung@sonnet.ucla.edu

***Footnote:  Brenda Yeung has been the point-of-contact for eValue from our SON, and a leader for all of us in better understanding the system and anticipating how to use it efficiently.  I owe Brenda gratitude for her collaborative approach to this extensive school-wide update.  She’s been thoughtful, inclusive, and technically expert in putting our ideas into this new format.  Thank you, Brenda!
